2.39 College Resources and Sense of Belonging

The college considers all staff members as one family and in this sense of ‘togetherness’ and ‘concern’, we appeal to all staff to use college resources wisely and avoid wastage. Please treat AIC like your own home and conserve energy. Use the photocopier wisely, recycle and inform the maintenance department of anything that needs attention. 

2.40 Salaries

Salaries are paid every two weeks by two different methods. Salary may be paid directly into a specified account or provided by cheque for direct payment. The Booragoon office should be informed of any change of address or any changes to banking details one week prior to the next pay period.

2.41 WASP Sign In and Out

All staff is issued with a WASP card to record attendance. PLEASE ENSURE THAT YOU SIGN IN AND OUT REGULARLY. Please also ensure that you sign in and out whenever you leave college grounds. It is the responsibility of individual staff to make the effort to do the signing. Cards should not be given to colleagues to sign in/out on behalf of another staff member.

If you are unable to sign in, are late or need adjustment to the system please complete a Staff Time Adjustment Form (Attached- Appendix 2), have it signed by the relevant authority and submit it to the front office. Please note that this form should not be utilised on a regular basis. If staff members fail to sign regularly without adjustment, payroll will presume the person is absent and pay may be deducted.

If you do not have a WASP card please let the office know as soon as possible.

Please also be reminded to send in all documentation ONE WEEK BEFORE PAY WEEK.

Leaving Staff

All staff leaving the employment of the college are to:

  1. Complete an Exit form.
  2. Return all school property.
  3. Get clearance from the Library prior to leaving.

Departing payments will not be processed until all items are accounted for.

2.42 Insurance on Staff Property

Staffs are strongly recommended not to bring items of value to our College as these are not covered by insurance.

2.43 Telephone messages

The practice of private contacts being made during college time is strongly discouraged. Should other than an emergency phone call from a close relative be received, a message will be recorded and placed in the staff member’s pigeonhole.

2.44 Unattended classes

A teacher identifying a classroom as unattended by a staff member is expected to do one of two procedures.

  1. If they themselves do not have a class to supervise they are to supervise that class and send a student to the Head of Section.
  2. A teacher who will be teaching at that time should notify the Head of Section in person that the class is unattended.

2.45 Restaurants

It is strongly advised that excursions for both students and staff to restaurants be restricted to those venues certified as Halal by the appropriate Islamic committees. (See also APPENDIX 13)

2.46 Posters

Having a bright, colourful and academic classroom is always encouraged. Posters put up should be of educational worth and be Islamically acceptable.

2.47 Photographs

Only photographs for administrative purposes are sanctioned on the College grounds.

2.48 Staff & Prayer

While all staff is welcome to be involved in, and support prayers it is not compulsory for non Muslim staff to join the students. Attendance is an expectation of all members of staff. Non Muslim staff may be asked to participate in the supervision of student behaviour while prayers are undertaken. A roster will be drawn up and all staff concerned notified, if this is the case.

2.49 College Vehicles

The Colleges has an extensive bus system. While the Colleges own the buses, the responsibility for making each bus viable is left squarely with the bus driver. Any negotiation to use either a bus and/or its driver must be made in a manner that is financially viable for the driver. Arrangements for bus and/ or driver usage must first be cleared with the Deputy Principal/Principal (who shall determine if the Transport Coordinator needs to be involved) and then agreed to with the driver. No bus can be used without the approval of the Transport Coordinator. The Transport Department must be notified in writing if a school bus is required for transportation with at least two school days prior warning in writing.

2.50 Sport

It is important to develop health and fitness in students, to facilitate interaction with other schools and to gain social skills in the process. Each form or class teacher is responsible for the sport of their own group. It is mandatory that at all times, students are to be supervised and under control.

2.51 College-community involvement

Decisions on the running and policies of the Colleges lie in the hands of the Director (and if he is absent his representative-the Principal) who reports to the Trustee Committee.

2.52 Planning conferences

The Director and the Principal may second any staff member they wish to be involved in planning conferences.

2.53 Staff Induction Book

It shall be the responsibility of the Deputy Principal to ensure that the staff induction book is updated regularly.

2.54. Budgets

Budgets and the financial running of the Colleges are the responsibility of the Director as assisted by the Accounts Department.

2.55 Conclusion of the day

Teachers are expected to ensure that students leave any classroom they are in, in a clean and orderly manner at the end of each day. Teachers will also be responsible for the safety and orderliness of students entering buses to leave to go home.

2.56 LIBRARY

The Colleges have their own libraries. It is recommended that community library visits be treated in the same manner as regular excursions. Visits can be arranged to the local Shire library. The classroom teacher needs to:

2.57 Audio-Visual materials

Teachers should not use A-V materials of any form for entertainment value alone. Each A-V used must have a lesson carefully constructed around it to clearly emphasise the key issues raised. Likewise no A-V materials can be used in the Colleges which depict any inappropriate behaviours, (this includes the nature of behaviour and dress), without first clearly getting approval from the Director or his representative.

2.58 STAFF ROOM HOUSEKEEPING

Each member of staff is requested to assist in keeping the staff room neat and tidy. We encourage all staff to demonstrate a ‘sense-of-belonging’ to the college and keep it tidy as they would their home. To this end, a roster operates on a weekly basis and staffs, usually in pairs, take charge of the staff room. They are specifically responsible for keeping it in a clean condition.

2.59 CLEANLINESS

All staff is reminded to work together to ensure the cleanliness of the college is maintained. Please refer to APPENDIX 7 for a checklist.

 

2.60 TRAVEL AND TRANSPORTATION

 

Education Department regulations state that students are accountable to the school administration for their behaviour on their way to and from school each day. During these times, they should observe the approved school code of behaviour. All misbehaviour in public by our students will be recorded in personal files and may adversely affect references sought from the school.

2.61 School Functions & Event Booking Procedures

The college annually holds events within the Kewdale campus to extend a warm invitation to the community to experience our multi cultural heritage. Occasionally, external events of interest are also held at the campus. Events include fetes, school open day, sports carnivals and multicultural events.

Functions and events can be arranged with the Events Coordinator and must be approved by the Director before any planning goes ahead. The Director and the Principal may second any staff member they wish to be involved in planning conferences.

2.62 ILL STUDENTS

In the case of a student falling ill, the following measures will be taken:

If you suspect that a child has a disability, please write a report immediately and in triplicate. A copy is to be filed in the student’s file, one with the Principal, and one in the Special Education file.

2.64 PSYCHOLOGICAL ISSUES

Follow the above procedure.

2.65 ADMINISTRATIVE PRACTICES-Checklist

It is expected that each staff member will:  

  1. Sign-in and off (in the staff room at each time of entry or exit) recording the time they entered and left the school and if leaving the school grounds during working hours.
  2. Attend assembly and be actively involved in guiding students to and in the activity.
  3. Normally be the first to enter and the last to leave their classroom.
  4. Ensure appliances are off and that their room is locked and neat before leaving it.
  5. Ensure the room allocated is kept neat, clean and presented as an exciting environment conducive of learning.
  6. Use positive measures to maintain control of students and ensure the academic and religious tone of their class and the college.
  7. Use the College Points System in a manner that will encourage students to display appropriate Islamic behaviour.
  8. Try to foster a productive working relationship with students and at all times refrain from using negative behaviour such as using corporal punishment or comments that belittle students in front of others.
  9. Ensure between lessons that they monitor the behaviour of students in the proximity of their room.
  10. Attend and do their utmost to support the students in all extra curricular activities (yard duty, sport, excursions, etc.).
  11. Support all other staff and seek ways to make AIC a happy, productive and religious learning environment.
  12. Be on time to every commitment.
  13. Record student attendance at every lesson/event.
  14. Formally assess student achievement on a fortnightly basis assessing material from the beginning of the year to date (with uniform tests approved by the respective HOLA the previous Friday).
  15. Submit programs and tests for approval prior to their implementation.
  16. Make every effort to contact their Head-of-Department if they are unable to be on duty in order to arrange for their teaching responsibilities to be re-allocated.
  17. View all issues from a college perspective rather than their own.
  18. Ensure they do not engage in any physical contact with students - even ‘friendly’ contact (eg handshake, same gender hugs) is not recommended.
